Once you have set up your profile using the First Time Log In Instructions, and have notified NIAGADS to assign your user role, go to the Data Access Request Management System (DARM) by clicking on “Access DARM”.

Note about multiple roles: as a NADAC member, you do not have the ability to request data. If you would like to do so, NIAGADS can assign you a user role. Once you have the user role, you will see two tabs, “My Votes” and “My Applications”. All NADAC actions will take place in “My Votes” while user actions will take place in the “My Applications” tab. This user guide will assume you do not have the user role that allows for submitting an application.

On your DARM dashboard, you will see the two sections: “To Do” and “History”. The “To Do” tab in this section is where you will see applications that need to be voted on and “History” contains applications you have already voted on.

Under the appropriate tab (“For Review” or “Closing For Review”), click on the application you wish to vote on. Once an application is highlighted, click on “Start your vote” in the left toolbar.

You will then be brought to a voting page. Please review the IRB section of the application PDF and either approve or reject it. If you reject, all votes for the consent level will be marked as “discuss”.

Once the IRB section is approved, you will be brought to the DAC Member Voting Page. Each dataset that the Principal Investigator applies for will be voted on individually. Click the plus sign icon to expand each dataset to vote.

Once each dataset has been expanded, you will see the different consent levels, grouped by category. You will have the option to “Approve All” or “Reject All” if you wish to approve or reject every consent level. You will also have the option to click “Abstain” if you are in conflict. Consent levels that the applicant is ineligible to receive (e.g. NPU for a For-Profit Institution) will be automatically greyed out.

On the right you can view the PDF of the application, a summary of the DAC votes, the results of the NIAGADS Data Use Committee (DUC) voting, and any Admin comments.

Once you have finished voting on all consent levels, a pop up will appear that asks if you are finished. If you would like to submit your votes, click yes. If you would like to edit your votes before submitting, click no.

Once you submit your vote, you will be brought back to your home dashboard. You can see votes that you have completed under the “History” tab.

Viewing Votes During Voting

At any time during voting, you can see DAC members’ votes by clicking on the tab on the right half of the page that says “DAC Vote Summary.”

You can also see the Data Use Committee’s voting results by clicking the tab titled “DUC Vote Result”, to the right of “DAC Vote Summary”. (if the DUC has already voted)

Once voting is complete, the NADAC co-chair will finalize NADAC votes.

Viewing and Editing Votes After Voting

If you would like to edit your vote after you have submitted it, navigate to the “History” tab on your dashboard and click on either “Review Completed” or “Closing Review Completed”, depending on the type of application.

Click on the application you wish to edit, and in the left toolbar select, “Edit your Vote”.

Make the necessary changes and then click on the link “Return Home” at the bottom of the page. Your votes will be saved.

You can also view DAC members’ votes and download the application PDF by clicking on “View Votes” on the left toolbar when an application is highlighted on the dashboard.
